Established in 1990, Qestmed is a licensed full-line pharmaceutical wholesaler, retailer and primary distributor. The company focuses on the hospital and clinic market and services both state and private hospitals, clinics, oncology centres and renal care facilities. It has distribution facilities in Johannesburg, Cape Town, Durban and Gqeberha. Qestmed employs 250 staff and recorded a turnover of more than R2 billion for the July 2021-July 2022 financial year.

Their Business Challenge

Qestmed needed to move from legacy platforms to a new technology infrastructure which would dramatically increase automation and enable its digital transformation as well as 24/7 connectivity.

The Solution

Although it had been a SYSPRO customer since 1994, Qestmed was using legacy platforms and architecture which limited its ability to use the full functionality of its ERP solution. The company upgraded to SYSPRO 8 in November 2021 as part of its drive for digital transformation.

The Outcome

Qestmed now has the flexibility to effectively manage the complex, diverse requirements of its four warehouses. Most of its processes have been automated through SYSPRO, the company is online 24/7 and the ease of customization has greatly enhanced its reporting and warehouse management.

Heart and soul of the business

Rishen Done, Qestmed’s IT Manager, says: “SYSPRO is the heart and soul of our business. I fact, I believe a good ERP solution is the backbone of any business – the better it is, the faster the business grows, data is more accurate and accessible, and trends can be identified and acted upon more efficiently.

“Without SYSPRO, we would need someone onsite 24/7, managing the picking, checking the orders, placing orders, scanning, faxing and using Excel spreadsheets. All those processes happen seamlessly with SYSPRO.”

Qestmed upgraded to SYSPRO 8 in December 2021 using a phased rollout approach based on best practice. Together with consultant Corpfin ERP, Done and his team deployed a backup server, ran the upgrade in the Quality Assurance environment and involved users in the testing process. All checks and balances were rolled out in the new environment, and an age analysis was run before and after the implementation to make sure the valuations were accurate.

Enhancing efficiencies through automation

With automation built into SYSPRO, the majority of Qestmed’s customers buy products online. Orders come directly into SYSPRO through various third-party portals and the automated response is sent in as little as one second and no more than two minutes.

According to Done, the high levels of automation and stability of SYSPRO have improved productivity substantially. For example, the Proof of Delivery (PoD) environment has benefited from the new process through which SYSPRO passes the same invoice number to the document management system so that one number can be seen across the board. The barcode functionality has also been enabled on all documentation and all PoDs are available electronically on the system.

“We receive between 2000-2500 orders a day which are split into different picking slips and dispatch notes. Without SYSPRO, we’d need a team to capture all those orders. Now that the entire system is online, however, it takes a few seconds,” Done says.

“For us, there’s no such thing as discrepancies between statements and invoices. At the end of each month, statements are run automatically and emailed to customers. We don’t check those simple things because we have so much faith in SYSPRO.”

Adding value through continuous service

SYSPRO processes orders continuously, which means that even though it keeps standard office hours, Qestmed is online 24 hours a day, seven days a week. This is critical in its industry, where hospitals are operational 24/7 and delays in treatments and medication are not acceptable.

“In our world, a single order can have multiple rules and routines,” Done says. “SYSPRO tracks orders, checks the warehouses for available stock and processes each order based on the specific rules for that order. We have different warehouses within one environment, and SYSPRO gives us the flexibility to manage each warehouse according to its particular functionality and rules.”

Another advantage is that SYSPRO has the capacity to keep pace with Qestmed’s significant growth. The scalability of the solution means that the company is not limited to 20,000 or 100,000 products as the entire operation has been digitized and is monitored around the clock.

In addition, Qestmed has benefited from the ease of customization in SYSPRO, particularly in areas such as logistics fees and consignment supplies.

“There is no off-the-shelf system for the pharmaceutical environment and ours is a complex operation with different requirements for the various warehouses,” Done says. “We are able to customize SYSPRO to our specific environment, whereas most other systems are hardcoded, rigid and lack the facility to add fields and data.”

The road ahead

Qestmed plans to deploy SYSPRO’s web user interface to enable staff to move towards using phones and tablets for activities such as doing stocktakes and answering customer queries while they’re out on the road.

“Having a web user interface is the future, and so is the ZAP Data Hub, a data warehouse automation tool which integrates into SYSPRO,” Done says. “One of our strategic objectives is to be more precise on ordering and stock availability, so reporting and dashboards are critical.”
